At STILL Functional Psychiatry & Transformational Healing (“STILL”), we value the time, preparation, and clinical presence required to provide thoughtful, individualized care. The following Refund and Cancellation Policy is designed to ensure clarity, fairness, and mutual respect.
By scheduling services, submitting a deposit, enrolling in a program, or completing a purchase with STILL, you acknowledge and agree to the terms outlined below.
Deposits
• Certain services, programs, intensives, retreats, and specialty offerings require a deposit at the time of booking or enrollment.
• All deposits are non-refundable, regardless of reason, as they secure clinician time, staffing, preparation, and clinical resources.
• Deposits may be applied toward the total cost of the service unless otherwise specified in writing.
Clinical Services
All clinical services—including but not limited to psychiatric evaluations, therapy sessions, ketamine-assisted psychotherapy (KAP), EMDR, integrative psychiatric consultations, medical services, and coaching sessions—are non-refundable once rendered.
Cancellation & Rescheduling Policy
• Appointments must be canceled or rescheduled at least forty-eight (48) hours in advance of the scheduled appointment time.
• Cancellations made with less than 48 hours’ notice are subject to the full session fee.
• Deposits are forfeited for late cancellations.
No-Show Policy
• Failure to attend a scheduled appointment without notice (“no-show”) results in:
• Forfeiture of any deposit, and
• Billing for the full cost of the scheduled service, in its entirety.
• No-show appointments are not eligible for refund, credit, or rescheduling without payment.
Packages, Programs, & Retreats
• Pre-paid packages, multi-session programs, intensives, retreats, and specialty offerings are non-refundable once initiated.
• Deposits for programs or retreats are non-refundable, even if the participant does not attend.
• Any additional refund terms (if applicable) will be clearly outlined in the specific program or retreat agreement and supersede general policy language.
Digital Products & Educational Materials
All digital products—including online courses, downloadable materials, recordings, workbooks, and educational content—are non-refundable once access has been granted.
Insurance & Reimbursement
STILL is an out-of-network practice. We do not guarantee insurance reimbursement.
Refunds are not issued due to:
• Insurance claim denials
• Partial reimbursements
• Deductibles, co-insurance, or eligibility determinations
Exceptional Circumstances
In rare and extenuating circumstances, refund or credit requests may be reviewed at the sole discretion of STILL’s Medical Director. Any exception, if granted, does not establish precedent and is not guaranteed.
Chargebacks & Payment Disputes
Initiating a chargeback without first contacting STILL to address concerns may result in:
• Immediate suspension or termination of services
• Responsibility for any fees associated with the chargeback process
Acknowledgment & Agreement
By booking services, submitting payment, or enrolling in any offering through STILL, you confirm that you have read, understood, and agreed to these Terms & Conditions.
Our intention is always to operate with transparency, respect, and integrity. We encourage patients and participants to review this policy carefully and reach out with any questions prior to scheduling or enrollment.
